What Size Party Bus Do I Need? Complete Capacity Guide

Short answer: count the people who have actually said yes, add two seats for stragglers and gear, and book the next vehicle up. Scottsdale Sprinters runs seat counts from 6 to 56, so there is almost always an exact fit. Groups of 10 to 16 belong in a Sprinter; 17 to 29 belong in a bus; up to 56 ride the motorcoach. Anything larger splits into two vehicles.

Too small and people are standing in the aisle. Too big and you are paying for empty seats. Here is how to land it.

Step 1: Count confirmed guests

Use the yes column of your group chat, not the maybe column. Write the number down.

Step 2: Add two

Two extra seats covers the friend who decides at 6 PM, the coolers and bags, and enough elbow room that nobody is sitting on a lap for four hours. For prom groups and weddings where gear and dresses take space, add three.

Step 3: Book the next seat count up

Confirmed + 2 = the seat count you need. Find it on the ladder below. If it lands between two vehicles, go up, not down.

Example: 12 confirmed guests + 2 = 14. Book the Executive Sprinter (14 seats) or the Ultra Luxury Party Sprinter (15 seats).

The real seat ladder

Every vehicle we run is brand new, and every seat count below is a real seat, not a squeeze.

Rates are hourly. 7+ hours earns 1 free hour, 12+ hours earns 2, 15+ hours earns 3. 8% tax applies. Checkout shows exactly what is charged today and when any balance is due. Tip is optional — 10/15/20% presets at checkout. It is never added automatically.

Where two vehicles share a range, the difference is the ride, not the room. The Mini Bus (24 Pax) and Executive Mini Coach are quiet, forward-facing shuttles. The Party Bus (28 Pax) has perimeter lounge seating, lighting and sound built for a night out, and the 56-Passenger Motorcoach has the most seats and none of the party layout. The Limo Party Sprinters and Ultra Luxury Party Sprinter are the party layout in a smaller footprint; the Executive Sprinters are the boardroom layout.

What each size costs per person

Per-person cost is the fare divided by riders, rounded to the dollar, before tax.

• 12 friends, Limo Party Sprinter (12-13 Pax), 4 hours: $700, about $58 per person.
• 15 friends, Ultra Luxury Party Sprinter, 4 hours: $1,000, about $67 per person.
• 25 friends, Party Bus (28 Pax), 5 hours: $1,250, about $50 per person. Fill all 28 seats and it is about $45.
• 40 guests, 56-Passenger Motorcoach, 5 hours: $1,625, about $41 per person. Fill all 56 seats and it is about $29.
• 24 colleagues, Mini Bus (24 Pax), 4 hours: $740, about $31 per person.

Notice the bigger buses are cheaper per seat. If you are at 22 people and torn between two Sprinters and one Party Bus (28 Pax), one bus is almost always the better deal and keeps the group together.

Sizing by event type

Bachelor party

Typical group: 8 to 15.

• 7–13: Limo Party Sprinter (12-13 Pax), 13 seats
• 11–16: Limo Party Sprinter (16 Pax) or Ultra Luxury Party Sprinter
• 17–28: Party Bus (28 Pax)
• 29 and up: 56-Passenger Motorcoach — forward-facing rows, not a party cabin

Bachelorette party

Typical group: 8 to 12.

• 6–13: Limo Party Sprinter (12-13 Pax), 13 seats
• 11–15: Ultra Luxury Party Sprinter or Limo Party Sprinter (16 Pax)
• 16–28: Party Bus (28 Pax)

Add a seat for the bride's bag of sashes, balloons and the photo props. Photos happen on board, so the lounge layouts (Ultra Luxury Party Sprinter, Limo Party Sprinters, Party Bus (28 Pax)) photograph best.

Prom or formal

Typical group: 10 to 20 students.

• 10–13: Limo Party Sprinter (12-13 Pax)
• 14–16: Limo Party Sprinter (16 Pax)
• 17–28: Party Bus (28 Pax)

Formal wear takes room, so add three seats instead of two. Anyone under 21 on board means no alcohol at all, for anyone, the whole night. Parents can meet the chauffeur at pickup.

Wine or brewery tour

Typical group: 8 to 16.

• Up to 13: Limo Party Sprinter (12-13 Pax), 13 seats
• 7–14: Executive Sprinter (comfortable, forward-facing seats for a long day)
• 14–16: Limo Party Sprinter (16 Pax)
• 17–24: Mini Bus (24 Pax)

Corporate group

Typical group: 15 to 56.

• 15–24: Mini Bus (24 Pax)
• 27–29: Executive Mini Coach
• 30–56: 56-Passenger Motorcoach

Past 56, or whenever one vehicle will not do, we run two or three. Two Executive Mini Coaches give you 58 seats; three cover 87 — those are units we own in multiples, which the motorcoach and the party bus are not. Wedding party

• Couple plus a few: Limo Party Sprinter (12-13 Pax), 13 seats
• Bridal party of 10–16: Limo Party Sprinter (12-13 or 16 Pax)
• Guest shuttle: Executive Mini Coach, two of them for a big hotel block, or the 56-Passenger Motorcoach in one load

Common sizing mistakes

Mistake 1: Booking to the maybe list

Half the maybes will not show, and you will pay for a bus twice the size you needed. Book to confirmed + 2. If the maybes turn into yeses two weeks out, call us and we will move you up a size if the vehicle is open.

Mistake 2: Forgetting the stuff

Coolers, ice, decorations, gift bags, golf clubs, a dress in a garment bag. Each takes a seat or a chunk of floor. That is what the plus-two is for.

Mistake 3: Ignoring the activity

A bar crawl group stands, dances and moves around, so a lounge layout with a few open seats feels right. A wine tour or corporate run is seated the whole way, so every person needs a real seat and nobody wants the fold-down.

Mistake 4: Choosing on seats alone

The Party Bus (28 Pax) and the Mini Bus (24 Pax) hold nearly the same number of people and are $65 an hour apart. One is a party; one is a shuttle. Pick the vehicle for the trip you are actually taking.

Mistake 5: Assuming bigger is always available

There is one 56-Passenger Motorcoach and one Party Bus (28 Pax). The WM Phoenix Open, spring-training weekends and New Year's Eve are major-event dates. If you need the biggest vehicle, request a current quote for your date.

Cancellation if the headcount changes
